July 24. 2007 Next Steps Following Council Action: . Sign contract with the vendor to provide services. Motion by Mr. Heretick, and seconded by Mr. R. Smith, to adopt the following ordinance, and was adopted by the following vote: "ORDINANCE ACCEPTING A GRANT IN THE AMOUNT OF $4,318 FROM THE LIBRARY OF VIRGINIA AND APPROPRIATING SAID AMOUNT IN THE FY 2007- 2008 GRANTS FUND FOR USE BY THE CLERK OF THE CIRCUIT COURT FOR DEED BOOK PRESERVATION." Ayes: Heretick, Moody, Psi mas, Randall, D. Smith, R. Smith, Holley Nays: None 07 - 330 - Adoption of an ordinance accepting a grant in the amount of $8,521 from the Library Of Virginia and appropriating said amount in the FY 2007-2008 Grants Fund for use by the Clerk of the Circuit Court for processing and storage of marriage Licenses. Vision Principle: Pride of Past, Promise of Future. Background: . The tri-folding of the documents increases the probability of tearing as the records age. Processing of loose papers by flat filing and mending of deteriorated documents will aid in preserving these records. The processed records will be stored in alkaline-buffered document boxes and the boxes stored in roller shelving. . The records subject to this processing would be approximately 49,000 marriage licenses dating from 1858 through 1969 and currently housed in 72 Woodruff drawers. The documents in the worst condition are those from the 1850's and early 1900's and consist of an estimated 36,500 documents. . The marriage licenses in this office are searched on a regular bases by the staff and general public. A significant number of citizens request a certified copy of their marriage licenses from the Clerk's Office rather than contacting the Division of Vital Statistics. The Clerk's Office also serves individuals performing genealogy research. Discussion: . The Clerk of Circuit Court has agreed to all of the services and reports required by this grant.
