<br />July 24. 2007 <br /> <br />Next Steps Following Council Action: <br />. Sign contract with the vendor to provide services. <br /> <br />Motion by Mr. Heretick, and seconded by Mr. R. Smith, to adopt the following <br />ordinance, and was adopted by the following vote: <br /> <br />"ORDINANCE ACCEPTING A GRANT IN THE AMOUNT OF $4,318 FROM THE <br />LIBRARY OF VIRGINIA AND APPROPRIATING SAID AMOUNT IN THE FY 2007- <br />2008 GRANTS FUND FOR USE BY THE CLERK OF THE CIRCUIT COURT FOR <br />DEED BOOK PRESERVATION." <br /> <br />Ayes: Heretick, Moody, Psi mas, Randall, D. Smith, R. Smith, Holley <br />Nays: None <br /> <br />07 - 330 - Adoption of an ordinance accepting a grant in the amount of $8,521 from <br />the Library Of Virginia and appropriating said amount in the FY 2007-2008 Grants <br />Fund for use by the Clerk of the Circuit Court for processing and storage of marriage <br />Licenses. Vision Principle: Pride of Past, Promise of Future. <br /> <br />Background: <br />. The tri-folding of the documents increases the probability of tearing as the <br />records age. Processing of loose papers by flat filing and mending of deteriorated <br />documents will aid in preserving these records. The processed records will be stored in <br />alkaline-buffered document boxes and the boxes stored in roller shelving. <br />. The records subject to this processing would be approximately 49,000 marriage <br />licenses dating from 1858 through 1969 and currently housed in 72 Woodruff drawers. <br />The documents in the worst condition are those from the 1850's and early 1900's and <br />consist of an estimated 36,500 documents. <br />. The marriage licenses in this office are searched on a regular bases by the staff <br />and general public. A significant number of citizens request a certified copy of their <br />marriage licenses from the Clerk's Office rather than contacting the Division of Vital <br />Statistics. The Clerk's Office also serves individuals performing genealogy research. <br /> <br />Discussion: <br />. The Clerk of Circuit Court has agreed to all of the services and reports required <br />by this grant. <br /> <br />Financial Impact: <br />. There is no financial impact on the City. <br /> <br />Staff Recommends: <br />Adoption of proposed ordinance.
