Vision Principle: Pride of Past, Promise of Future.

Background:
. The tri-folding of the documents increases the probability of tearing as the
records age. Processing of loose papers by flat filing and mending of deteriorated
documents will aid in preserving these records. The processed records will be stored in
alkaline-buffered document boxes and the boxes stored in roller shelving.
. The records subject to this processing would be approximately 49,000 marriage
licenses dating from 1858 through 1969 and currently housed in 72 Woodruff drawers.
The documents in the worst condition are those from the 1850's and early 1900's and
consist of an estimated 36,500 documents.
. The marriage licenses in this office are searched on a regular bases by the staff
and general public. A significant number of citizens request a certified copy of their
marriage licenses from the Clerk's Office rather than contacting the Division of Vital
Statistics. The Clerk's Office also serves individuals performing genealogy research.

Discussion:
. The Clerk of Circuit Court has agreed to all of the services and reports required
by this grant.

Financial Impact:
. There is no financial impact on the City.

Staff Recommends:
Adoption of proposed ordinance. Vision Principle: Pride of Past, Promise of Future.

Next Steps Following Council Action:
.
